Folders for Document Library
Policies, reports, minutes, forms. A document library grows by a few files every week, and after a few years All Documents is hard to read.
Plathix PRO adds private folders to the Document Library Lite list in wp-admin. Sort documents by department, year or review stage and open one folder at a time. Your library on the site, its categories and who can open a file stay as they are.
Hundreds of documents in one list
All Documents shows every file in one list: this year’s reports and last year’s, forms in use and forms you replaced, drafts waiting for a check.
Document categories are public. The library on your site filters by them, and each category has its own address. A category for ‘to review’ or ‘old’ is not something visitors should see.
Folders and subfolders are something everyone understands
Document libraries are often run by a small team or a volunteer. They hold years of papers, and they have to stay simple for the next person who looks after them.
More than 500 records in the library today. The plan is around 8,500.
A ton of PDF files, mostly finance and law papers. It has to stay simple for the person who deals with them.
Meeting summaries and revised club documents, all in PDF. It must stay easy to maintain after the person who set it up leaves.
The library was set up by the person who had the job before you. Now you have to keep it going.
Folders in wp-admin give the team that tree. The library on your site keeps using your categories, and access stays as it is.
Folders that match how your team works
By department
Finance, HR, operations: each team finds its own documents without scrolling past the others.
For review
New files that wait for a legal or a manager check stay as drafts in one folder, so the team sees what is waiting.
By year
Minutes, reports and budgets by year. Last year’s papers are one click away.
Out of date
Replaced forms and old policies go to one folder. Unpublish them as usual if visitors should not find them.
A folder panel for All Documents
A folder tree next to the list
The panel sits beside All Documents. Click a folder and the list shows only its documents.
A Folder column
Every row shows its folder; click it to open that folder.
Search inside a folder
Search, status tabs and date filters work inside the open folder.
A link for each folder
The address changes when you open a folder, so you can bookmark it or send it to a teammate.
Your library page never sees your folders
| What you do | What changes | What stays as it is |
|---|---|---|
| Put a document in a folder | Its Plathix folder | The document, its file and its categories |
| Rename or move a folder | The folder tree in wp-admin | The library on your site and its filters |
| A visitor opens the library | Nothing | They see documents by your categories, as before |
| Trash a document, then restore it | Its Trash state | Its folder: it comes back to the same place |
| Turn Plathix PRO off | The list looks like plain WordPress | Your folders wait in the database and come back |
Folders have no URLs and never appear on the site.
How we test Document Library Lite
We run each check on a live site with Plathix PRO and the current Document Library Lite version, on the real All Documents screen.
Status Planned
Results go to Plathix Lab. Each row turns into a link once it has run.
| Check | What we verify | Status |
|---|---|---|
| Enable documents | Turn on Documents in Enabled Sections; the panel appears on All Documents. | Planned |
| Categories | Folder filter together with a document category link from the list. | Planned |
| Library unchanged | The library on a page shows the same documents after filing them in folders. | Planned |
| Trash and restore | A trashed document comes back to its folder. | Planned |
